Becoming an Exam Proctor

Becoming a proctor for AEST exams is a simple process.  The first step is to sign up for an AEST Proctor Account. We’ve put together a few “frequently asked questions” below to explain a few more of the details.

Who can be a proctor?
Proctoring is intended for district-level administrators, school-level administrators, or testing coordinators. We will not approve agriculture teachers to serve as proctors.

What are the proctor’s responsibilities?
Proctors are able to schedule exams, purchase exam credits for a school’s AEST account, review exam results, and administer exams.  Be sure to coordinate with your agriculture teacher on testing details.

Is there a training?
There is no formal training required to become an approved proctor.  However, it is strongly suggested to print the proctoring guide to familiarize yourself with testing guidelines prior to requesting a proctor account.  Once your account is verified and approved by AEST, you will have access to administer certification exams.  A detailed proctor guide is available for you to review prior to test day.

I’m ready to become a proctor, what do I do?
Request an AEST Proctor account by clicking “Request Account” at the top of the screen.  You will receive an email notification once your account is approved.  Then, check out the Proctor Guide for directions on scheduling and proctoring exams.

Once you have an active AEST account, you’re ready to begin proctoring exams.  Step-by-step instructions for preparing for test day and proctoring exams on test day are available.

SCHEDULING EXAM SESSIONS

AEST proctor accounts allow you to schedule exam sessions in the testing platform.  To schedule an exam login to the AEST Testing Platform and choose the date, time, and lead proctor’s name.  After the exam is scheduled, you are required to add students from your school’s student list to the exam session before testing. Exam Sessions can be scheduled with zero credits in the school’s account; however, the school must have ‘Available Exam Credits’ to cover the cost of the exam before the proctor can ‘seat’ the student on exam day.  Schools are not charged for scheduled exams that result in no-shows, provided the proctor does not ‘seat’ the student.

PURCHASING EXAM CREDITS AND PAYMENT METHODS

AEST is an exam credit-based system. Exam credits are $1 each, providing you the flexibility to test initial exams, retakes, and all levels of certification exams. You can purchase exam credits for your school’s account any time before your scheduled exam. AEST charges for exams by deducting credits from the school’s account when the proctor ‘seats’ the student on exam day. This method prevents issues regarding refunds and no-shows. Credits do not expire and can be purchased at any time. Printable exam quotes are provided by logging into your account and using the “Exam Session Estimate Worksheet” feature.

Exam credits may be purchased using three payment options depending on the school’s purchasing authorizations: invoice, purchase order, or credit card. Invoices will be generated for “invoice” and “purchase order” options. Invoices are sent electronically to the email address specified during the purchasing process and allow payments by check or credit card. Receipts for exam credit purchases are provided electronically.
