ID Card

How do I get a student ID card?

If you are a new student, you will receive a ID card slip from Student Admin which you will need to take to Monash Connect on your Clayton or Caulfield campus. This slip will then be exchanged for a student ID card.

For City campus students, can obtain your Monash Student ID card at the Student Administration Counter on the City Campus during the first week of your course. Please bring your Passport and Authority to Enrol with you.

MUELC students: 11 am-12 pm OR 1 pm-2 pm, Monday to Friday

MUFY students: 1.30 pm – 3:00 pm, Monday to Friday

Where is Monash Connect located on the campus?

Clayton campus: 21 Chancellors Walk, Campus Centre

Caulfield campus: Building B, 900 Dandenong Road

My ID card expired, do I need a new one?

Yes, you need a valid student ID card while you are studying at Monash College.

To get a replacement student ID card, please go to Monash Connect on your campus or the Student Admin Counter for the City campus.

Replacing my lost ID card or wristband for City Campus Students?

We charge to replace lost items. Please complete an application form and make the payment at Reception. You will receive your wristband on the spot and new ID card the following business day.

OSHC – Overseas students health cover

How do I get my OSHC card?

You need to order the card online via the OSHC Webpage.

  1. Go to www.oshcallianzassistance.com.au
  2. Select “Order a membership card”
  3. Enter your policy number
  4. Update your details
  5. Click on “Order a new membership card”

What is my policy number?

Your policy number is your student ID number followed by MON.

My health cover is expired, do I need to renew it?

You can see an OSHC representative on Campus.

They are available Monday to Friday from 12 to 4 pm Building 21 Chancellors Walk, Clayton and Monash Connect, Building B, Caulfield.

Change of personal details

How do I change my postal address?

You can change your postal address on the Web Enrolment System (WES).

For students who are under 18 years, you will have to complete a “Change of details” form. The form is available at the reception on your respective campus (Clayton or City).

Why do I have to give Monash College my postal address?

Monash College may need to post you important information.

For international students

You must tell your education provider:

  • the address where you live in Australia within seven days of arriving in Australia
  • if you change the address where you live within seven days of the change

How do I change my personal email address?

To change your personal email address, the one that you used to apply for admission to Monash College, you will need to send an email to scenquiries@monash.edu

What is the difference between Postal address and Home address?

The Home address is generally your address in your home country if you are an international student.

The Postal address is your current address where you are staying and where all the correspondence from Monash College will be delivered.

Student Account issues

I forgot my password, how do I get a new password?

You will need to contact IT Service Desk to reset your password. you can contact them via phone at +61 3 9903 2777 or online at https://servicedeskonline.monash.edu/.

You will be given a temporary password and you must change it to a personal one within 24 hours.

How do I change my Monash account password?

Please go https://my.monash.edu.au at the bottom of the page, you will find the option to change your password.

I cannot access moodle, who do I contact to get access?

The first step is to contact your teacher or the education advisor.

If you are still unable to do so, you can contact the IT Service desk at +61 3 990 32777

My account has been blocked, why?

Your Monash account can be blocked for three main reasons:

  1. You have not paid your fees. The solution is to pay your tuition fees as soon as possible.
  2. You have not updated your postal address and have to go to the reception counter on your campus to complete a “Change/update of Address” form.
  3. You have lost or forgotten your password and tried logging in with the wrong password too many times. You will need to contact IT Service Desk to reset your password. You can contact them via Phone at +61 3 990 32777

Academic Documents

How do I apply for academic documents?

Academic documents can be applied online. The web address is below:

I lost my testamur/certificate, how do I get a new one?

You need to download this form.

Print and complete the form along with the “Statutory declaration”.

Once you have completed the form, you can bring the form to the reception counter at 49 Rainforest Walk, Monash University Clayton Campus or the 222 Bourke St, Monash College City campus.

How long does it take for my academic document to be processed?

Generally, the student admin team endeavours to process requests within 2 working days, however due to unforeseen circumstances it may take longer.

I am overseas and have applied for an academic document, how long will it take to reach me?

All documents are sent via normal post. If you are overseas, it will take up to 8 weeks to reach you once processed.

Note: we do not guarantee the successful delivery of your request. We encourage students to provide domestic address.

Can I ask a friend or relative to collect the document on my behalf?

Yes, a friend or relative can collect your documents, however you will need to email Student Admin at student.admin@monashcollege.edu.au with an authorisation letter stating that you allow them to collect the document on your behalf.

You will need to include, your full name, student ID number, your friend’s full name and an identification number and type of ID your friend will present on the day of collection. Your friend or relative must provide a copy of the authorisation letter when colleting the document.

Fees

 

Getting and reading my invoice (Fee Statement)

Your invoice is called a Fee Statement and it will be emailed to you two weeks after you enrolled. A copy of your statement will still be available on WES.

How much do I owe?

The Fee Statement shows the units that you are currently enrolled in and the tuition fee balance.

What is a census date?

The census date is the last day for students to discontinue a unit without fee penalty. Any units discontinued after the date will be fee assessed.

Has Monash received my Fee payment?  

You can check your payment history and fee balance on Web Enrolment System (WES).

Go to the “Fees/ Scholarships” tab and then the “Fee Statements” tab. You can check your payment history anytime from “Payments and Refunds” tab.

Refunds if I discontinue my studies from MUFY, MC Diploma or MUELC

The refund policy is stated on your offer letter and on Monash College’s website. Please read it carefully before you apply for discontinuation from your courses.

Applying for an extension on my fees

Apply via the Web Enrolment System (WES). Once logged in click on “Fees/ Scholarships” and then on “Apply for a fee payment extension” (before the payment due date). You will receive a response within 5 working days.

MUELC students are not eligible for an extension and cannot apply via WES. However, if you experience unexpected financial difficulties, please contact the Fees Coordinator, by sending an email to mcfees@monashcollege.edu.au.

Removing a block due to unpaid fees

Once you pay your unpaid fees please submit the payment evidence at mcfees@monashcollege.edu.au. The block will usually be removed within 24 hours.

Sponsored students may be blocked if the Monash University Fees Unit has not received your Financial Guarantee (FG) or your scholarship letter.

  • Please email your Financial Guarantee to student.admin@monashcollege.edu.au
  • Once the Financial Guarantee is received by MU Fees Unit, the block will be removed within 24 hours.

Getting a receipt to apply for re-imbursement of my payments from my sponsor

If you need a receipt to show your payment of the initial Application Fee, the Administration Fees and the OSHC, please send your request to IRS Fees Unit at irsfees@monash.edu

Dropping a unit and adjustments on the Fee Statement

Your tuition fees are adjusted automatically during the weekend once you make any enrolment amendment. A new Fee Statement is issued on Tuesday in the following week.

Processing my refund application via the MU Fees Unit

You application is processed within 28 days of submission of your refund application by the MU Fees Unit so send any refund enquiries to studentfinance@monash.edu

Monash College – Diploma

 

When do I get my timetable?

 

The Diploma timetable is published on Friday of Orientation week after 12.00pm.

 

How do I see my timetable?

 

You need to go to Monash College Allocate Plus and click on Monash College student. Login with your Authcate username and password.

 

 

How can I contact my teacher?

 

You can contact your teacher by using one of the internal phones located on the ground floor opposite reception or outside the counsellor’s office.

Above the phone on the wall is a list of teachers names and phone numbers.  You can also contact them by email.

 

How can I see a Learning Consultant?

 

Learning Consultants are available from 11am-12pm and 2pm-4pm daily at 33 Innovation Walk (Room CG09) for drop-in sessions.

They are also available outside those hours by appointment. Please send an email to Learning.Consultant@monashcollege.mcpl.edu.au to book an appointment.

Enrolment

 

How do I enrol in my units for next trimester?

For continuing students, you will need to log on the Web Enrolment System (WES) and click on the “Enrol” tab.

You can then select the units you want to enrol for the next trimester. Do not forget to click on “Submit” before logging off.

Once you have submitted your enrolment you will receive a transaction number confirming that you have successfully been enrolled.

I cannot enrol in MCD2130 Functions and their Application or MCD2140 Business Mathematics

Please check your Monash College Diploma Offer Letter first to see if you have MCD2130/2140 as a requirement.

MCD2130/2140 is not offered to all students. It is only offered to those students who do not meet the Mathematics requirement for the Bachelor of Commerce/Business. They will have to do MCD2130/2140 as part of their Diploma course.

What is MCD2140 Business Mathematics?

MCD2140 is a unit offered only to students studying the Diploma of Business (Business) who have not met the Mathematics requirements for the Bachelor of Business. If you are required to do the unit, it will be mentioned in your Offer letter.

If you are unsure please contact Student Admin on student.admin@monashcollege.edu.au to confirm if you require to do MCD2140 for the Diploma of Business.

Unsatisfactory Academic Progress – How does it work?

 

Monash College monitors the academic performance of students to ensure they are making good progress towards the completion of their diploma.  By monitoring the academic progress of students Monash College can:

  • identify early those students who need extra help.
  • put in place strategies to ensure success.If we believe your academic progress is at risk, we will contact you in writing.  The procedures for unsatisfactory Academic progress are outlined below:

Academic warning letters

If you fail one unit, you may get an early warning letter at the end of each trimester. You should follow the advice given in the letter.

Academic Review Process (ARP)

If you fail more than one unit in your first trimester or more than 50% of your units you will receive an ARP letter placing you on conditions. You should follow the advice given in the letter.

Academic Progress Committee (APC)

After the release of your second trimester results, Monash College may send you a Notice of Referral and Hearing letter if you:

  • pass less than 50% of your units.
  • failed the same unit twice.
  • failed to follow any terms or conditions imposed by Monash College ARP committee.

You will need to reply to this notice. Refer to Reply to a Notice of Referral and Hearing for help.

Make sure you respond to this notice by the due date, otherwise Monash College will make a decision in your absence.

Monash College’s APC will consider all the information you give them and will make one of three possible decision:

  • allow you to continue your enrolment; or
  • allow you to continue your enrolment subject to certain conditions; or
  • request you attend a hearing before the APC.

Monash College will confirm the APC’s decision by letter. If you need to attend a hearing, details of the date, time and location will be in this letter.

APC hearing

Appearing before the APC gives you the opportunity to present your case, and why you should be able to continue your studies.  The APC can make one of three decisions:

  • allow you to continue your enrolment; or
  • allow you to continue your enrolment subject to certain conditions; or
  • exclude you from your course and/College.

Appealing the APC decision

The Notice of Decision letter sets out your right of appeal and the date by which you can do so.

Exams

 

How do I check my exam timetable and seat number?

Log on to your Web Enrolment System (WES) portal, then go to Course Progression – Exam timetable. You will be able to see your exam timetable and seat number.

What is a mobile phone fine?

No mobile phones are permitted on a student during an exam. If an invigilator finds a phone on a student or if a phone rings including the alarm you will be issued a fine of $300.00

What is exam viewing?

The exam viewing process is an opportunity for students to have a look at their exam paper and find out where they went wrong and where more work is required.

How do I apply to view my exam papers?

To apply to view an exam, student must complete the Exam Viewing Form at Reception Desk of Monash College. There is a fee attached to the process and the deadline is week one of the new trimester.

Discontinuation of Unit/s or Course

 

How do I apply to discontinue a unit?

Complete the “Course/Unit Variation form”.

Make an appointment to see a learning consultant.

Learning Consultants must sign the form before submitting the form at the Reception Desk of Monash College.

How do I change my diploma course to another diploma course?

Complete the “Course/Unit Variation form”.

Make an appointment to see a learning consultant.

When can I discontinue a unit without a fee penalty?

The last day to discontinue a unit without a fee penalty is the Census date, after the census date any discontinued units will incur a fee penalty.

When can I discontinue a unit without it appearing as a FAIL on my transcript?

The last day to discontinue a unit without it appearing on the transcript as a FAIL is the Academic census date.

How do I apply to discontinue my course?

Complete the “Discontinuation Course form”.

Make an appointment to see a learning consultant.

Learning Consultants must sign the form before submitting the form at the Reception Desk of Monash College.

Release Letter

 

How do I apply for a release letter?

  1. Download the “release letter application form”
  2. Print and complete the form.
  3. Submit the form at Monash College or Monash Connect pod 4 or 5, Central Admission located at:

How long does it take to get a release letter?

It usually takes up to 5 working days after Student Admissions receives your application form. It will be sent by email.
