    • In the past this system was called the Grant Reporting and Reimbursement System (GRRS). People still some times use the GRRS acronym for GRS.

Explanation

The Grant Reporting System (GRS) is a tool for PIs, Co-PIs and other people responsible for managing a research grant index to view the balance and transaction on a grant index. If you do not have access to GRS, visit GRS - Access.

Note: If you are off campus you must be on the OSU VPN to connect to GRS. Otherwise you will receive an error message when trying to login. You can learn more about the OSU VPN at: https://oregonstate.teamdynamix.com/TDClient/1935/Portal/KB/?CategoryID=6889.

Resolution

To log in to GRRS & View Assigned Indexes

  1. Login to GRS using the button at: https://iar.oregonstate.edu/bic/grs
  2. If prompted, enter your ONID username and password, and then click the LOGIN button.
  3. The My Grants page is displayed. On this page you will see a list of indexes assigned to you.

Note: For PIs and Co-PIs, the report displays Grant Indexes assigned to you in Banner by OPAA. For others the report shows the indexes assigned to you by your business center. Terminated Grants are displayed for 90 days after the termination date.

If you are not a PI or Co-PI and an index is missing contact your business center to have them add it. More details on adding indexes to your GRS account can be found in the GRS and OSUF - Access article.

View Terminated or Closed Grant Indexes

The Principal Investigator Grant Index Financial Summary report displays Grant Indexes for 90 days after the termination or grant end date. View terminated or closed Indexes using the Index Search feature available on the GRRS home page.

  1. Navigate to the GRRS home page by clicking on the Online Systems link in the “breadcrumb trail” at the top of the GRS.
  2. Scroll to the Index Search at the bottom of the GRS home page
  3. Enter an Index in the "Index" box in the "Index Search" area and click the "Search" button
  4. This will bring up the Index Summary for the entered Index

    Note: You must be a PI, Co-PI or assigned to the index in GRS to see an index's summary page. GRS will return an error message otherwise.

    Note: You can also set the fiscal year you want to look at in the index search. The report defaults to the current fiscal year. If the index was closed or was terminated in a past fiscal year you will need to set the Index Search to that fiscal year to see results in the index summary.

View Transactions of an Index

  1. Login to GRS using the button at: https://iar.oregonstate.edu/bic/grs.
  2. If prompted, enter your ONID username and password, and then click the LOGIN button.
  3. The My Grants page is displayed. On this page you will see a list of indexes assigned to you.
  4. Select the index for which you want to see the transactions. On this page you will see a summary of the selected index.
  5. Navigate to the Transactions Tab to view complete transaction history of the index.

Note: View account detail in a grant report - 

Per OSU HR Policy, PI's are limited to viewing Grant Detail by account rollup only. Account detail is not available in the "Grant Reports" format which is the only format available for PI's to view. Grant Accountants have the option of viewing grant reports by Account Rollup (Grant Reports) or by Account Detail (Index Account Reports).
