Student Google Account information

As students navigate the world wide web, it is important to review Internet Safety and Acceptable Use with them. The tools available through Google Apps are meant to be educational and should be utilized responsibly. Below are some ideas and points that you should discuss with your students before using Google Apps. Students are expected to follow the guidelines as stated in the Online Parent/Student Handbook, especially Section VI: Technology, Internet & Copyright Information.

In compliance with the CIPA, COPPA, and FERPA laws and policies, all students in grades 1-7 MUST have signed permission slips on file at the school before Google accounts will be created. Google permission slips have been included in new student registration. Once the parent gives permission for their child to have a Google account, the campus will mark that permission in the student information system (TEAMS), and the account will automatically be created. If a student does not have permission, a permission slip will need to be printed, signed by the parent and returned to the campus PEIMS clerk so that the change can be made in TEAMS.

Student Google accounts:

Student Google accounts usernames be created by using the student's first name and last name (as listed in the SIS system) followed by @g.hayscisd.net

Example: JosephStudent@g.hayscisd.net

Student Google password will be the same password that students use to log into a computer.

High School:

All students in grades 9-12 are allowed to have Google accounts for school use. This means that they will have access to email within and outside of Hays CISD.

Gmail For High School Students:

      • Personal use of email is a privilege granted by the district.
      • Students need to keep in mind that all email is recorded and stored along with the source and destination.
      • Students have no right to privacy with regard to email managed by the district. Hays CISD may monitor email data and the content of email for the purposes of security and safety.
      • Students are prohibited from accessing another student’s electronic mail.
      • Noncompliance may result in suspension of access or termination of privileges and other disciplinary action consistent with district policies.


Middle and Elementary School:

It is important to communicate with parents about how you intend to use Google Apps in your classroom.

      • Email for students in Middle school is allowed within HCISD domain only meaning that no messages can be sent or received from email address outside of hayscisd.net domain. Students will be expected to follow the Gmail guidelines that are listed for High School students.
      • Email for students in Elementary school is turned off by default.


Gmail Use by Teachers

  • Outlook is still the email system for faculty, staff, parent and student communication at Hays CISD.
  • Teachers have been given access to a Gmail account to easily create contact lists to share documents and general class information with students.
  • If a parent or student contacts you through your Gmail account, please encourage them to use your Outlook email address.

Revision History

Google Docs has a revision history pane that allows you to view at a glance all changes made to a document by each collaborator. While it may not work exactly like a track changes tool, Google Docs revision history lets you view and revert to earlier versions of your doc, and see which collaborators made edits to each of these versions.
