Elementary Scheduling in PowerSchool After a new student has been properly enrolled, you will need to create and maintain a class schedule for that student. These instructions will lead you through that process, as well as creating new sections and other functions you had in mainframe, as well as some new features you will find very handy. Please have your computer name handy when you call. To find you computer name: Right click on the My Computer icon on your desktop. Go into Properties and click on the Computer Name tab. We will need the Full Computer Name including any hyphens.

Section 1 With the student selected, under the “Scheduling” menu on the lower left, click on Modify Schedule

1. Method 1 for enrolling (rostering) a student 1) Set the period for AM and click on Find button.

2) Click on the appropriate course name in blue.

3) You will return to the Modify Schedule screen and the class course will be added to his schedule.

4) Set the period for “1” and click on the Find button again and select the next appropriate course name and/or section number. Repeat this step selecting the next periods and course names each time. Altogether, the periods selected should be for AM, 1,2,4,5,6,7,8 and 9 or 10 (if needed). (NOTE: “3” is technically the lunch period – don’t select.)

5) Another way, instead of clicking on the Find button and clicking on the course name, is to Quick Enroll.

If you know the course number and section number, you can enter it here and click enroll. Example: 11051.0021 (course and section are separated by a period.) NOTE: In PowerSchool, all course numbers for elementary are preceded with a “1” to make it a five digit number. The only exception is PM self classes, which are preceded with a “9”. In the mainframe a 1st grade self class was “1051”, in PowerSchool it will be “11051” for AM and “91051” for PM.

2. Method 2 for enrolling (rostering) a student NOTE: This is the method recommend by the TPS trainers/support help. It will require about 30 minutes set up time prior to enrolling students, but will save you lots of time down the road. 1) From your Start page, go into your Setup menu on the bottom left and click on School. 2) Go to the Scheduling options and click on Sections. 3) Click on the appropriate AM self class on the left side (remember – it should start with a “1” – not a “9”). 4) You will get the options of selecting your section number next. Click directly on the first section. 5) Scroll down until you come to Dependent Sections.

6) Here you will enter the course and section numbers that are associated with this self class. You are basically saying, if a student is in this self class and section number, he will also be in these following course and sections. 7) Enter them in this format. 11251.0011,11451.0011,11651.0011,11851.0011,13010.0011,13020.001 1,13030.0011,13050.0011,91051.0011 (Note that commas separate the course and section numbers, but NO spaces.) Check for accuracy before hitting the Submit button when finished. 8) Select your student and repeat steps 1 and 2 from the Method 1 directions (or step5-Quick Enroll). When it returns you to the Modify Enrollment screen, you will notice that it enrolled the student in all of the course and section numbers you said were associated. -5-

Section 2 Adding a new section If you have added a new teacher or class that you need to enroll (roster) students to, these are the instructions to build that course and section number, as you would have done in the mainframe under Master Schedule Update. 1) After you log on, select School from the Setup menu on the bottom left of your screen. 2) Scroll to the bottom of the School Setup screen to the Scheduling section and click on Sections. 3) Select from the course options on the left, the course you need to add a new section to.

4) Click on the New button.

5) The Edit Section screen will come up and you will fill in the following fields:

a. Term – always use the full year (such as 2009-2010) b. Click where it would go on the schedule - If it is a Self class that starts with a “1”, choose AM - If it is a Self class that starts with a “9”, choose PM c. Select Teacher d. Enter Room Number e. Enter Section Number NOTE: Remember to keep with the district’s standard numbering system for sections, for example: 000* for EC and KG, 001* for 1st, 002* for 2nd, 003*, for 3rd, etc. f. Enter Grade Level g. Dependent Sections – you can follow the directions on page 5, steps 6-7 if this is an AM self class. h. Everything else – leave as defaulted. 6) Hit the Submit button.

Section 3 Class Load If you have created a new class or are enrolling (rostering) students for the next year, you can drop the whole class in at once instead of pulling up each child’s individual record and enrolling them one by one. This is the same type of function you had in mainframe when you chose Class Load.

1) From your Start page (the page that comes up after you log in), under Browse Students, you can select by grade, or by alpha, or by all. For example, if I need to assign 1st graders to a new teacher, I would select “1” and all 1st graders would show up. 2) Under the list of students where it says “Select a Function for this Group”, choose “Select Students by Hand”.

3) Now you can hold down the CTRL key and click on the students you want to enroll (roster) in the new section. When you have selected all the students you need, click on the Functions button.

3) When Group Functions screen comes up, select Mass Enroll.

4) Select the teachers name and enter the course.section number, and click on the Submit button.

5) You will receive message saying success or if there was a problem. If there was a problem it will explain the issue for you to correct.
