    Administrative Support Assistant for Transportation/Activity Bus FUNCTIONAL PURPOSE: The purpose of this position is to provide administrative and clerical support for the Transportation Department and to serve as a point of contact for drivers and their administrative/ personnel needs. DUTIES AND RESPONSIBILITIES: * Coordinates and provides hands-on training to new school-based and department staff using web-based programs * Participates in necessary training to maintain current/updated skills * Performs duties as prescribed by department guidelines/procedures and in compliance with school board policies, and federal, state, and local regulations * Notify drivers of route changes or additions for morning and/or afternoon school bus coverage ensuring that all students are transported to/from school in a timely and efficient manner. * Log "call-ins" from drivers regarding personal illnesses or personal days off. * Schedules and locates substitute bus drivers to cover routes for absent drivers * Review time entry of assigned drivers to ensure time is entered, complete, and accurate for each driver entry. * Monitors radio and phone for updates regarding student drop-off or mechanical issues. * Performs general clerical duties, including: answering primary departmental phone line, maintaining functionality of office equipment, distribution of Interoffice and USPS mail, typing correspondences, editing documents and conducting research as needed * Review GPS Map and provide drivers with directions and street locations throughout route coverage. * Serve as an emergency backup driver when no other options are available * Communicate with school administrative office regarding route or bus changes. * Assign activity runs to drivers upon school request and ensure necessary documentation is provided to and completed by the driver in a timely manner. * Performs other related duties and responsibilities as requested by Director or designee. REQUIRED SKILLS AND ABILITIES: * Ability to communicate clearly orally as well as in written and electronic formats. * Ability to safely operate a school bus and monitor student behavior. * Ability to use a computer or other electronic devices for the purpose of communication, providing memos or reports, data entry/recording, location of information, and creating graphs or other illustrations of data. * Ability to read and follow directions from maps and GPS. * Preferred experience and ability to use transportation information systems. * Skill in organizing and maintaining important documents and files to allow for efficient retrieval * Skill in managing multiple projects or activities simultaneously. * Skill in communicating using handheld radios. EDUCATION REQUIREMENTS: * Graduation from a 2-year college or technical school with computer operations coursework and one year of experience in an automated systems environment, or an equivalent combination of education and experience. CERTIFICATION AND LICENSURE REQUIREMENTS: * Experience with successful executive administrative background. School administration knowledge preferred. SPECIAL KNOWLEDGE REQUIREMENTS: * Performs administrative and clerical support functions using a variety of applications and programs housed within the Transportation Department to Travel Tracker. * Work requires computer literacy/proficiency and the ability to follow instructions necessary to input and transmit data.
