The other day I was updating my address book, grabbing Facebook photos, email addresses, AIM screen names, etc. of my friends (yes, this is how I spend my free time), when I realized that most of my NYU friends are still using their NetID as their email address. You know, your initials and some arbitrary numbers NYU assigned you way back in the summer before freshman year?

It’s hard for me believe people are still giving out an email address like this. Wouldn’t things be easier with an address that actually makes sense, like yourname@nyu.edu? It would look much more professional on a resume too.

To remedy this, not only will I show you how to change your NYU email address, but also how to convert it all over to Gmail, so you can finally be free of the terrible NYU Mail interface and get a lot more storage space. Nicole wrote a great guide to forwarding NYU Mail to Gmail about a year ago, but I’m going to go a little more in-depth.

Get ready to enter email nirvana.

  • 1) Log in to NYUHome and click “Preferences” at the top of the page. Under “Your E-Mail” is “Personal Address”. Click the little grey “Edit” button next to that.
  • 2) At the bottom of this window is a box to change your personal email address. Preferably, you should enter something like FirstName.LastName or FirstInitialLastName @nyu.edu. Once you’ve determined your new email address, click “Submit”. (Keep the NYUHome Preferences window open, we’ll be coming back to it later.)
  • 3) Now, let’s set up a Gmail account. Go to gmail.com, and register a new email address. It doesn’t matter what this is, just make sure it’s something you’ll remember.
  • 4) Go back to your NYUHome Preferences (you did keep that window open, right?). Click the “Edit” button next to “Mail forwarding”. Check the “Enable e-mail forwarding” box, and type your new Gmail address into the box below. Then make sure “Retain a copy of each incoming mail message on NYUHome” is unchecked — Leaving this checked could cause problems in the future. Click “Save Changes”.
  • 5) Back to Gmail! Select “Preferences” in the top-right corner, then “Accounts and Import”.
  • 6) First, let’s get Gmail to send emails under your NYU address. Click the “Send mail from another address” button. In the popup window, enter your full name and your personal NYU email address and click “Next Step”. On this next page, select “Send through nyu.edu SMTP servers”. Enter “smtp.nyu.edu” as the SMTP Server, and select Port 465 in the dropdown box next to it. Enter your NYUHome login information as your Username and Password, and be sure to check “Always use a secure connection (SSL) when sending mail”. Click “Save Changes,” then select “make default” back on the Accounts and Import page, so any email will automatically be sent as your NYU address.
  • 7) Now let’s import all your email from NYU Mail. Click the “Add POP3 mail account” button. Again, enter your NYU email address, and click “Next Step”. On the next screen, enter your NYUHome username and password. The POP server should be “mail.nyu.edu”, and the correct port is 995. Check “Always use a secure connection (SSL) when retrieving mail.” Click “Add Account”.

Importing all your NYU email will likely take a while, but now you’re all set up to send and receive email through Gmail with your shiny new NYU email address!
