8 Uploading PPAPs with an Existing Request When a PPAP is requested by Yazaki, you will receive an notification and the request will also show in your task list Click on the link in your task list, and it will take you directly to the PPAP Document Alternatively, you can search by component as discussed on Slide 4 If searching by component, near the bottom of the page, you will see several tabs. Click on the Documents tab PPAP materials should only be uploaded into the PPAP document The PSW Coversheet is only for Yazaki use These documents act as the master folders that house the PPAP materials you will be uploading

10 Uploading PPAPs with an Existing Request The Document Name: PSW(EWB61437) is generated from Yazaki s automated system Note: No documentation should be uploaded into the PSW Coversheet document; it is for Yazaki use only Document Phase: Create: not yet active In Process: Active/input needed Released: Approved or Completed Two main documents for each PPAP Document Status Link to further details on the document and PPAP upload

11 Uploading PPAPs with an Existing Request Click Watch This to add this document to your homepage watch list Always press Save Changes before leaving the document Always remember to change status to DMO Task Assume Request when you wish to submit the PPAP materials

12 Uploading PPAPs with an Existing Request Required fields Required PPAP level If any other fields are required for the document, you will be receive an error upon pressing the save button

13 Uploading PPAPs with an Existing Request Click Add Attachments to open the attachment window

14 Uploading PPAPs with an Existing Request Leave type set at Misc Click Browse to find PPAP materials on your computer Click save when finished

15 Uploading PPAPs with an Existing Request Select this status and click Save Changes

16 Uploading PPAPs without an Existing Request At times, there may not be an existing request A new PSW and PPAP document must be created in order to upload your PPAP materials Note: This method may not be used when there is already an existing, approved PPAP document. You must create a revision see slide 27 Search by component to arrive at the component details page Scroll to the bottom of the page, and click on the documents tab

18 Uploading PPAPs without an Existing Request Under type, select PPAP Document Document Name should be in the following standard format: xxxxxxxxx YZ (Supplier Name) The X represents the Yazaki part number without dashes or spaces Click Create

19 2. Enter company name and press enter or Search Uploading PPAPs without an Existing Request 1. Add Issued By button on Document page will open new window Make sure this box is checked Press Select Choose the Region level (Americas in this case) rather than the Group level.

21 Uploading PPAPs without an Existing Request Change status to Supplier Provides PPAP Documents, click Save Changes Required Fields

22 Uploading PPAPs Associated with SICRs/Creating Revisions of Existing, Approved PPAPs If there is an existing, approved PPAP or you are uploading for an SICR, you must create a revision of the already approved PPAP Document. On the document page, scroll down until you see the Revision History section. There are several types of revision statuses Active: Current revision approval Obsolete: A newer revision has been approved In Process: Waiting for PPAP material submission/approval Note: Always check to make sure you are looking at the current revision of the document. If there is already a revision showing In Process, a new revision is not needed. The document will always default on the last approved revision

23 Uploading PPAPs Associated with SICRs/Creating Revisions of Existing, Approved PPAPs Take note of the current revision level Click Add Revision Revision status. In Process indicates awaiting PPAP submission

24 Uploading PPAPs Associated with SICRs/Creating Revisions of Existing, Approved PPAPs When you click the Add a Revision button, you will be automatically directed to the page for the new revision Enter next revision level in the sequence (i.e. 1,2,3) Change status to Supplier Provides PPAP. When creating a revision of the PSW Coversheet, the status must be changed to Waiting for PPAP Completion

26 Uploading PPAPs Associated with SICRs/Creating Revisions of Existing, Approved PPAPs Enter SICR number if applicable Always make sure you are in the correct revision. The last approved document is the default view, so you will need to click the link for the level that is In Process to upload your PPAP materials Released status indicates that revision has been approved Archived status indicates the document is no longer relevant due to subsequent approvals

27 Requesting an Extension on Submission Date The supplier may request an extension on the submission due date set forth in BEAMS The due date shows in the upper left corner of the PPAP Document Any PPAP not submitted by the due date will change to Late Supplier Response status and will enter escalation

28 Select Review Timing Proposal AP Requesting an Extension on Submission Date Enter your proposed submission date Note: Yazaki may reject this timing and request an alternative date. The status will be changed back to Supplier Provides PPAP once Yazaki approves/rejects the timing proposal. The document will change to Late Supplier Response upon the date specified in the Supplier Committed Timing field

29 Interim PPAPs As needed, Yazaki will request an Interim PPAP Supplier may also request an Interim PPAP If requested by Yazaki, you should receive an from BEAMS or see the document in your task list Upload the Interim PSW and change the status of the document to SQD Approval of Interim PSW You must assign the next task to the SQE/ASQE

30 Interim PPAPs Change status to SQD Approval of Interim once the PSW is uploaded Click this symbol to assign this document to the SQE/ASQE This is the date approved by Yazaki for Interim Expiration. Full PPAP must be uploaded before this date unless an extension is communicated with the SQE/ASQE

31 Once you click the red plus sign to assign the ASQE/SQE, the following appears Interim PPAPs Enter SQE/ASQE s last name Make sure Active User is checked Select the appropriate person Press Select

32 Interim PPAPs Creating an Interim PPAP Request Search by component to reach the component details page Click Create Select Interim PPAP Enter the document name in the standard format: xxxxxxxxx YZ (Supplier Name) X=Yazaki part number

33 Interim PPAPs Follow the instructions on Slides to add Issued By and Issued For Change status to Request for Interim PPAP Required fields Enter the requested expiration date

34 Frequently Asked Questions How can I receive s/track when the status of the document changes? In the upper right corner of every document (next to the save button) is an option entitled Watch This. When you click this button, the document will be visible on your home page in the Watch List Here, you can check the option to receive notifications when the status of the document changes How do I know what is required for the different levels of PPAP? All Yazaki PPAP expectations and requirements are available on the main Yazaki website I ve uploaded documents for an SICR but cannot find them when I click on the Details link for the PPAP document. Are the documents still in the system? Always be sure you are looking at the correct revision for the document. The default page is the last approved document. See Slide 30

35 Frequently Asked Questions I uploaded PPAP materials for a level 4 quite some time ago and they have not been approved. Always be sure to change the status of your document to DMO Task Assume Request and press Save Changes. Yazaki will not be notified of the available documents otherwise if this does not occur. I uploaded PPAP materials and changed the status, but I received notice that the status changed back to Supplier Provides PPAP In this case, the PPAP has likely been rejected by Yazaki. There will be rejection comments in the Attributes section of the document. You must make the corrections and resubmit How do I receive access to BEAMS? Contact Nicole Adams, nicole.adams@us.yazaki.com regarding access to the BEAMS system
